How to File Your KRA Returns Using a P9 Form in 2026

Filing tax returns using P9 Forms is a yearly requirement for every employee in Kenya. While many find the process confusing, it is much easier once you understand the steps.

In Kenya, the deadline for filing tax returns is June 30th every year. Missing this deadline attracts a penalty of Ksh 20,000 or 5% of the tax due. For teachers in both primary and secondary schools, filing is mandatory as long as you have an active KRA PIN and employment income.

What is a P9 Form?

The P9 forms are the most important document for your returns. It contains your financial records for the year, specifically focusing on three key areas:

  • Taxable Pay
  • PAYE (Tax Deducted)
  • Monthly Personal Relief (MPR)

How to Get Your P9 Form

  • TSC Teachers: Log in to the TSC Portal using your TSC number and password to download your form.
  • Private School Teachers: Request the form from your employer or download it from your school’s online payroll system.

Requirements for Filing

Before you begin, ensure you have:

  1. Your KRA PIN.
  2. Your iTax Password.
  3. Your P9 Form.
  4. The KRA PIN of your employer (found on the P9 form).

Step-by-Step Guide to Filing on iTax

1. Log In to iTax Visit the KRA iTax Portal. Enter your PIN, click “Continue,” enter your password, and solve the simple math sum (Security Stamp) to log in.

2. Select the Returns Menu: On your dashboard, hover over the “Returns” tab and click “File Return.”

3. Select Tax Obligation Select “Income Tax – Resident Individual” from the drop-down menu and click “Next.”

4. Download the Excel sheet. Click the link to download the Income Tax Resident Individual Form (a zipped Excel file). Unzip it and open the file. Ensure you “Enable Macros” in Excel to make the form work.

5. Fill the Excel Sections. Using your P9 form, fill in these four key sections:

  • Basic Info: Your personal details and return period.
  • Employment Income: Details of your earnings as shown on the P9.
  • PAYE Deducted: The total tax already paid by your employer.
  • Tax Computation: This section calculates if you owe money or are due a refund.

6. Validate and Upload Once finished, click the “Validate” button on the last sheet of the Excel file. If there are no errors, it will generate a new zipped file on your computer.

7. Submit Your Return Go back to the iTax page, upload the new zipped file, agree to the terms, and click “Submit.”

8. Download Your Receipt Once successful, download the Acknowledgement Receipt. This is your proof that you have complied with KRA for the year.

In this last step, you will need to download the KRA Returns for Teachers Acknowledgement Receipt that has been generated by the iTax system successfully.

This is a final confirmation that your KRA Returns have been successfully submitted to the Kenya Revenue Authority (KRA). An acknowledgement number will also be generated for that KRA return that we have just filed.
